Post # 4: Reflection on meeting 1

The meeting for our CG1102 project was held last Friday in school. In my most honest opinion, i do think that this meeting is very well done, despite the fact that we are not able to capture a nice 1 hour video as per the requirement of the project. In fact, the meeting was so conducive that we actually over shot our meeting timing by half an hour.

Looking back at the video of the project, it feels good to see that the group of us are able to communicate effectively and harmoniously. The frequent use of hand signals,body gestures and follow-up argument after one party stated their opinion is something that i think every meeting should have.

The meeting was held at a rather fast pace as it is assumed that all of us have understood the task before hand. However this assumption basically broke into pieces while halfway into the meeting as we realised, that none of us understand explicitly what Colin wants,even after reviewing the project sheet over and over again. Hence, in the end, we decide to try our best, to come out with a proper program that we think that the commercial sectors would enjoy, and us, the programmers would enjoy programming.

The overall progress of the meeting was quite good. We were able to come up with a clear outline of tasks to do, while keeping the meeting short and sweet. The issues raised were properly discussed, and the pros and cons carefully weighed. I especially like the way that our leader accepts and rejects opinions directly, yet non-offensively, this is clearly the mark of a good leader. However, the discussion for that whole meeting was that bit confusing to me as the language used is too technical and the jump from item to item was too fast for me to digest.

Hi Byron,

I watched the video (some of it). I believe that your group is proceeding well with the task. Everyone was engaging with one another, ideas are coming out smoothly. Although some people may be quieter than the rest, their opinions are also important to the task. The leader’s job is to be able to tap onto everyone's capabilities and to move the team forward towards the goal. I do not see any major hiccups in the meeting. Keep it up!

Regarding the technical terms used, I believed that everyone needs time to get used to it (including me). If the discussion is going on too fast and it is becoming hard to digest everything in one go, try signal to everyone that you would want the pace to be slower (More haste, less speed). It is more important to understand each issue before moving on.

I noticed in your video that the members keep eye-contact when they are trying to stress a point. This is a good habit since it allows you to check if the other members understand what you are trying to say.

However, while it is good that the leader keeps the conversation going all the time, I noticed that one of your team members did not contribute that much at first. Perhaps the team could ask him for his input instead in future meetings or at least asks if he understands the points being made.

Overall, I think the meeting seems to be fairly successful since as you said, you all did manage to get clear ideas regarding how your project would work.

Hi Byron,
After watching your meeting video, I think that the choice of your team leader is very good as he knows his task well. The discussion failed to involve all the members. I feel that in a team it is very necessary that all the members participate actively and give their ideas. After taking into account everyone’s opinion things must be finalised.

Your team made use of a lot of non verbal cues like movement of hand. Sometimes these are quite useful in stressing your point of view. Your team’s way of working is also good as they discuss the pro and con of everything and then come to conclusion. This kind of discussion helps to eliminate the bugs in your project.

I think preparing yourself before the meeting is quite necessary and it helps to discuss things more appropriately. So your team could have prepared in advance according to the agenda. When you are prepared your involvement in the discussion tends to be more and you are more comfortable with the topic as you can understand everything. I think this would help you get rid of your confusion about the technical terms.

While reading your post, I came across a few grammatical errors. I would suggest that you should spend some time proofreading your post.

On the whole, the meeting seems to be successful. Work on some flaws and I think you’ll surely have better meetings in future.

Hi Byron,

Firstly, your team chose a conducive venue to hold the meeting. The seating arrangement was good as everyone was facing each other. This allows communication to be smooth and effective.

I would also like to point out that whenever someone spoke, the rest paid attention and listened actively. After he/she was done then feedback/opinions were given.

However, not all your team members were involved in the discussion. Maybe for the next meeting, everyone could make an effort to ensure each team member contributes and actively participates.

On a side note, your post seems to have some grammatical and punctuation errors. Please do take note of that when writing your next post. :)

Overall, from the looks of the video, the meeting seemed to be a productive one.

Hey Byron,

I was browsing through your blog and was prompted to comment on this post. I felt the same too, that the meeting was quite fast-paced. However this is in fact also a sign that our leader had a fair idea of what issues he should address within the time span of our meeting and hence kept shifting from one topic to another quickly.

With regard to your post, I believe you could have elaborated more on your shortcomings during the meeting and how you can overcome them rather than just a general overview of the meeting. We can all learn from not just our own mistakes but also from others'.

Our second meeting was definitely a huge improvement from the first, especially with respect to the placing of tables and how the attendees were seated. This enabled a better arena for discussion and interaction.
